Update: Discounts and Fees

Release Note: This Update to Discounts & Fees will be available on your SportsSignup account the week of August 30th.

Do you feel like you have to create Programs and additional Sessions to manage Fees and Discounts?  Well, no more!  Administrators now have the ability to apply Discounts and Fees not only to specific Programs, but now also Sessions and/or Divisions.  This will allow greater flexibility when setting up and managing Programs and Sessions.

If you like the way it is working now, you do not need to do anything - all of the current rules will be applied the same way, at the Program level, unless they are changed by the administrator.

Support Center News

Please help us in welcoming new SportsSignup recruit Doug Abromaitis to our support department, as a new Customer Support Representative. Doug is a graduate of Johnson and Wales University with a B.S. in Technology Services Management and an A.S. Computer Technology Services.  We understand how important support is to our customers.  Doug is here to help and looks forward to working with you.

Support is continually reviewing and updating the Customer Support Center.  You can visit the Support Center from any page by clicking on, “Help for this Page” on the top left menu.  Here you can search our Knowledgebase, look through the resources and submit a ticket.  Something you cannot find?  Submitting a ticket just got easier!  Simply click, My Support in the Support Center and complete the summary and description, providing as many details as possible about your question or problem.  This will help us route your ticket appropriately and find the fastest resolution.  Additionally, support is working on new help videos. These will be short task specific videos intended to provide an additional way for someone to learn the system at their own pace.  Last, the support department will be adding a way for customers to add feedback to a ticket.  Please take a moment to let us know how we are doing and to help us improve your Customer Service experience.

Update: Online Registration Refund Policy

We have updated the Refund Policy section.  Now, the contact details for the chosen Registration Administrator automatically populates within your displayed Refund Policy.   Also, there is added space for specific Online Registration Refund details.

*The Online Registration Refund Policy can be viewed by customers through a link on the Confirm Order page, through the “Help for this Page” link on Registration pages and on their invoices (if Online Registration was part of their purchase).

Update: Administrative Privileges

As part of SportsSignup‘s commitment to security and privacy, we maintain an internal Information Security Policy. This outlines what privileges are granted to each employee as well as each employee’s commitment to this policy.  We take this very seriously and understand that our customers do too. As we have reviewed and updated our privileges internally, we are also reminding all primary administrators to periodically review their administrative users and to take this opportunity to review WHO has access in your system and what their privileges allow them to do.

We understand that granting privileges to users within any system can be a very challenging task. We have taken an opportunity to do some privileges “spring cleaning” in order to make the privileges more understandable.  We have made these changes in order to make granting privileges easier, allowing the focus to be on what users will be allowed to do.

One change worth nothing is that all administrators can view data in your system - accounts, people, and registrations.  The ability to modify data is controlled through privileges. Due to the way some of the Privileges were names, this has not always been clear.

Please take the time now to review your administrative users and their privileges.

New: Session Test Mode Now Available

Are you creating a new Session and want to see how it looks from a registrant point of view before opening it to the public?  SportsSignup has developed a way to test each session independently in order to view important parts of the registration process, such as:  the session and division descriptions, the division and team selections and the custom questions.

A new tool has been added that allows you to access a Test Account. This account is pre-populated with adult and children data. You can also add additional adults and children based on what you would like to test.  You can then walk through the registration process,  viewing it just as your members will.   Many users have requested this and we are pleased to bring you this feature that will streamline your setup process.

New: "Account Credits" Now Available

Do you have special end-user accounts where you'd like to be able to issue a credit? Ever want to issue a "credit" instead of a cash or credit card refund? A new feature is now available for sports registration administrators to apply "credits" to specific end-user accounts.  This is the number one requested feature in our Feedback Forum and we aim to please!

Some examples of how to use account credits: You may want to allow for board member or coach discounts, store/apparel credits, scholarships and just issuing a credit to an un-registered player instead of a refund to their credit card.  Authorized administrators can issue a credits to a user account by indicating the amount of the credit and reason it was issued.  Upon login, the account owner will see the credit as it is prominently displayed at the top of the screen - the funds are automatically applied to their next order.  Very simple!

Updates: Finance Reports 2.0 Now Available

SportsSignup is committed to helping administrators account for their system finances. After careful consideration and feedback from our Customer Advisory Board, and consultation with CPA's on best practices for accrual-based accounting, we have made significant enhancements changes to the finance reports. The reports will accommodate our new services, including MySportsStore - Powered by Eastbay and are intended to be in line with standard accounting practices. We have made documentation available that outlines the changes so you can easily become familiar with the new reports, along with best practices for accrual-based accounting for your organization.

As we continue to bring you more of the features you request, we know it can be difficult to stay on top of all our updates.  Why not just stay up to date new features and system updates automatically?  When you subscribe to Knowledge base references, you will receive an e-mail alert when the reference is updated.

To subscribe, go to the Support Center within your SportsSignup account or go to support.sportssignup.com.  From the Support Center Home page, subscribe to the System Status reference by going to the System Status Folder in the left side menu:

New: Coach Manageable Fields

Part of taking the hassle out of running your sports organization is distributing the work load to others. For example, using online sports registration you are having families maintain their own information (address, e-mail, phone, etc). With Coach Manageable Fields, sports administrators can create custom questions and allow coaches to enter the information for each registrant on their team.

The best example of this is player rankings. Instead of having a single administrator enter this information - now you can put the data entry in the hands of the coach, a scenario that saves time and provides better accuracy of data. Using this feature is easy, when you set up a new custom question, there is a checkbox called "Coach Manageable." When coaches view their teams, they will be able to bulk edit these fields so they can be easily reported on from administrator reports.

New: Round Robin Automated Team Assignment Now Available

We are very pleased to announce a feature that will give administrators the ability to auto-assign teams based on a specific field.  This feature will greatly enhance the already robust team management capabilities within the SportsSignup player registration system.  Here are the highlights:

• Ability to assign teams “round robin” style based on a field, such as birth date. For example,  based on one division or year (like 1st graders), this allows for balanced teams based on age, so the older kids are spread across the teams evenly.  This can also be used if club has a RATING field which, thanks to another new feature, can now be updated by coaches.

• Note: You can run this feature multiple times, as new registrations come in.

• A summary is provided indicating how many participants will end up on teams by age group before assignments are made.

• A re-do or mass reset can be done if the administrator needs to add or delete teams.
